Receptionist


Summary:
Assists with the day-to-day operations of the parts department through processing of parts
ordering, returns, purchases and other essential components of the parts ordering process.
Major Duties/Responsibilities
1. Answers all incoming calls in a professional, friendly and efficient manner, striving to
minimize the time they are put on hold.
2. Run daily stock orders for all parts; order stock orders for all vendors.
3. Logs and tracks all parts from invoices and statements to packing invoices for all vendors,
code and return to Parts Manager.
4. Posts all orders on a daily basis.
5. Checking of parts pricing and bin location on a daily basis.
6. Processes freight claims and tracks payment.
7. Closes purchase orders on all finished invoices.
8. Filing for all parts orders.
9. Runs reports on as needed basis, verifying and correcting as required; tracks all negatives on
hand; processes/maintains all core returns.
10. Assist with telephone calls.
11. Cooperatively performs additional duties when assigned.
Knowledge and Skill Requirements
Good knowledge of automated accounting functions. Also should be able to utilize MS Excel
and MS Word. Knowledge of ADP application would be an asset. Effective communication
skills and the ability to relate well to others. Good organizational skills.
Education:
Minimum of a high school education or equivalent, with two years of general office experience.
Personal Characteristics:
Individual should be outgoing, friendly, energetic, organized, and flexible. This individual
should also be dependable with high work ethics and a positive attitude. Ability to work
effectively and efficiently in a team environment.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
